Defining Filters
Filters enable you to define rules for your incoming messages. There are three kinds of filters:

  • Automatic Filing defines rules to store incoming messages. You can define up to five Automatic Filing rules.
  • Automatic Deletion defines rules to delete incoming messages. You can define up to five Automatic Deletion rules.
  • Vacation Reply specifies an automatic reply to incoming E-mail.
  • Safety Filters block unsolicited E-mail and define senders from whom to accept or reject messages. When incoming E-mail is blocked by a user-defined safety rule, it is not accepted and will not show in the Inbox.

Click on Filters in the menu bar to open the Filter Management Page. This page controls the customization of your E-mail filters, using several options described below.

The Status column in the Filter Management Page, describes, for each service, whether it is active or not.

Automatic Filing

Automatic Filing rules enable you to move incoming E-mail to other folders, according to specified criteria. You can define up to five Automatic Filing rules and enable each rule individually.

In order to define an Automatic Filing rule, please do the following:

  1. Click on the Automatic Filing link in the Filter Management Page.
  2. Click the Add button in the horizontal toolbar.
  3. In the IF field, select the message header field on which the rule will operate.
  4. Select Contains or Doesn't Contain, as required.
  5. Enter the text that you want to filter.
  6. Select the appropriate folder to move your messages to.
  7. In order to delete a rule, mark the check box next to the appropriate rule and click the Delete button in the horizontal toolbar.

Click the Active box in order to activate the Automatic Filing of messages. If this check box is empty, this feature will not be activated.

Save the rules you have defined by clicking the Save button in the horizontal toolbar.

Note: Rules are applied according to their order. For example, if a message matches the criteria in rule 1, it will be filtered according to that rule, otherwise it will continue to the next rule.

Automatic Deletion

Automatic Deletion rules enable you to delete incoming E-mail, according to specified criteria. You can define up to five Automatic Deletion rules and enable each rule individually.

In order to define an Automatic Deletion rule, please do the following:

  1. Click on the Automatic Deletion link in the Filter Management Page.
  2. Click the Add button in the horizontal toolbar.
  3. In the IF field, select the message header field on which the rule will operate.
  4. Select Contains or Doesn't Contain, as required.
  5. Enter the text that you want to filter.
  6. In order to delete a rule, mark the check box next to the appropriate rule and click the Delete button in the horizontal toolbar.

Click the Active box in order to activate the Automatic Deletion of messages. If this check box is empty, this feature will not be activated.

Save the rules you have defined by clicking the Save button in the horizontal toolbar.

Vacation Reply

The Vacation Reply rule enables you to send an automatic reply to incoming mail, for example, when you are on vacation, or to automatically acknowledge receipt of incoming mail.


In order to define a Vacation Reply rule, please do the following:

  1. Click on the Vacation Reply link in the Filter Management Page.
  2. Check the Enable Auto Vacation Reply box to enable this filter.
  3. Specify a start date and an end date between which the automatic reply will be sent. For example, if you are going on vacation, specify the first and last date of your vacation.
  4. Enter a subject for your reply in the Subject box.
  5. Enter the text of the message in the Message Text box.
  6. Press OK to save your changes.

Safety Filters

Safety filters enable you to:

  • Block unsolicited E-mail (spamming)
  • Enforce additional safety strategies. You can define the senders from whom you will accept E-mail (Green-List), or you can define those senders whose messages you do not wish to receive (Red-List).

To define safety filters:

  1. Click on the Safety Filters link in the Filter Management Page.
  2. Select Spamming to automatically block unsolicited E-mail from known bulk addresses.
  3. You can define additional safety strategies as follows:
  • Green List: Specify senders from whom you wish to accept mail. This is known as the green-list strategy. To enable this option, select Receive messages only from specified senders (Green-List), and specify a list of senders in the text box. Click Add my address book to my Green-List to add all names in your address book to the green list.
  • Red List: Specify senders whose mail you do not wish to accept. This is known as the red-list strategy. To enable this option, select Block messages from specified senders (Red-List) and enter the full E-mail address of each sender in the Address List box.
  • None: Select Receive mail from anyone to receive all incoming mail. If you select this option, no safety control will be attached to your incoming messages, other than the Spamming option, if selected.
  1. Press OK to save your changes.
